How is Privacy of information handled at the Village Office? All Village of Chauvin Staff sign a Life Long Confidentiality Agreement. All Council is held to Confidentiality by the MGA. A confidentiality agreement, also known as a non-disclosure agreement (NDA), is a legally binding contract that prevents employees from sharing a company's sensitive information. The purpose of a confidentiality agreement is to protect the company's trade secrets, intellectual property, customer data, financial information, and other sensitive information. FOIP! Freedom of Information and Protection of Privacy Act aims to strike a balance between the public’s right to know and an individual’s right to privacy, as these rights relate to information held by public-sector bodies in Alberta. The Village of Chauvin Employees are trained, and have signed confidentiality and non-disclosure agreements. Which are bound as life time agreements. Any and all information presented by a person or pertaining to a property is considered confidential. Councilors sign many forms that confine what they are able to discuss outside of Council Chambers. Including confidentiality and non-disclosure agreements. Nondisclosure Agreement Where a Confidentiality Agreement is typically used in employment or personal situation to protect sensitive information, NDA's are often used in business and legal settings to protect trade secrets, client lists, sensitive information, and financial data.

How does the Village Office handle complaints? People must file a complaint with the Village Office, by written email or written letter, that is signed, dated and addressed to the CAO or Bylaw Officer. The residence/ Home Owner will receive a phone call, email or mailed letter from the Bylaw Officer or CAO. A timeline is then created to have the appropriate actions taken, (cleaning up, mowing, removing items, etc.) within a reasonable time frame to the infraction. After the appointed time frame has passed, a follow up phone call, email or mailed letter is then conducted. If the infractions have been handled, no more actions are required! However, if any more actions or extensions are needed, that adjustment is then noted and a new time frame can be approved by the Bylaw Officer. At the discretion of the Bylaw Officer a letter of warning can be sent out. If actions are not completed or refused and it is deemed necessary to the Bylaw Officer, a Bylaw ticket can be issued. If the infraction continues to go on, a second or third ticket can be issued as well with fine costs increasing. Any full time Villager can file a complaint with the Bylaw Officer, against a fellow resident or neighbour. However, the Village Staff including the CAO and Council choose not to file complaints, unless considered a high risk. We do not patrol the Village. Complaints must be brought to the Village Office.
